Payment and Billing Policy
Last updated: October 12, 2026
How invoicing works, which payment methods we accept, and what happens if a payment is late.
How you are billed
Every engagement is a fixed fee agreed in writing before work begins — we do not bill hourly and we never add charges mid-project without your written approval. Fixed-scope engagements are invoiced 50% at kickoff and 50% on delivery; larger projects may be split into milestone payments by agreement. Monthly Advisory Retainers are invoiced monthly in advance.
Payment methods
Invoices are sent by email and can be paid by ACH bank transfer, by major credit or debit card through the secure payment link on the invoice, or by business check mailed to our address. We never ask for card details by phone, email or through this website, and we never see or store your card number — card payments are processed by our payment processor.
Payment terms
Invoices are due within 14 days of the issue date unless your proposal states otherwise. The issue date, due date and all line items are shown on each invoice, and receipts are provided for every payment.
Late payments
If an invoice is more than 14 days overdue, we pause work on the engagement until the account is current and contact you to resolve the situation. We do not charge interest on late payments, and we do not send accounts to collections without first attempting to reach you in writing at least twice.
Billing questions and disputes
If any invoice looks wrong, email info@megaphoenix.us before the due date. We investigate and respond within three business days, and no late-payment consequences apply while a good-faith billing question is being resolved. Refunds, where applicable, follow our Refund and Cancellation Policy.
Taxes
Fees are quoted exclusive of any applicable taxes. Where a tax applies to a service under US federal, state or local law, it is shown as a separate line on the invoice.
