Administrative Strategy

Admin work designed on purpose — who does what, when, and how it gets checked.

We redesign the administrative backbone of your business — invoicing, renewals, records, approvals — so routine work runs on a system instead of on someone’s memory.

01 / Who it is for

Is this you?

Businesses where administration grew by accident: the founder still approves everything, invoicing goes out late, contracts renew unnoticed, and one absent person can stall the whole office.

The problems it solves

  • The owner is the bottleneck for approvals, payments and small decisions that should not need them.
  • Invoices go out late and follow-ups later, so cash arrives weeks after it could.
  • Renewals, filings and licences surface only when something lapses.
  • Admin knowledge sits with one person, and holidays become a risk event.

02 / What we do

The work, step by step.

  1. 01

Audit every recurring admin task across finance, customers, compliance and HR admin.

  2. 02

Assign clear ownership and backup for each task, with deadlines on a shared admin calendar.

  3. 03

Define delegation thresholds — what staff can decide alone, what needs a check, what stays with the owner.

  4. 04

Set up a short weekly admin review so nothing ages past its deadline unnoticed.

03 / Deliverables

What you receive, in writing.

  • An admin function map: every recurring task, its owner, backup and deadline
  • A twelve-month admin calendar covering filings, renewals and reviews
  • A delegation guide with approval thresholds in writing
  • A weekly review agenda that keeps the system honest

All FAQs
Do you provide ongoing admin staff or virtual assistants?

No. We design the system; your team runs it. If you need extra hands, we can define the role so a hire or a virtual assistant service knows exactly what to take over.

Does this replace an office manager?

It makes the office manager role explicit — whether it is one person, shared across the team, or partly outsourced. Many clients discover the role exists; it just was never written down.

You will see sensitive information. How is that handled?

A mutual confidentiality agreement is standard before work begins, and we work with least-privilege access: only the documents the audit needs, for only as long as it needs them. Details are in our Service Delivery Policy.
